Handling multi-session clients

If you have clients coming back regularly such as for newborn photography, then the following may help regarding images and invoicing.

You can either:

1. Create multiple albums (.psa) - one for each session, or
2. Add each new session's images into separate "Sets" in the same ProSelect album.

Adding images to different sets

You can rename your sets to include the date of the shoot of the event milestone. (e.g. 6 weeks, 12 weeks etc). Just double-click on the Sets area at the bottom of the Image List in ProSelect to open the Set Name Editor or Change Set names (under the Album menu).

You can easily move images from one set to another in Thumbnail view by selecting them all in the display area and then drag and drop them onto the new set icon. You need to do this for each Yes, Maybe and No tab.

Creating Orders for Additional Sessions

To keep orders separate for each of the sessions, use the Client Setup (under Orders menu), choose "Adding New Album Client" then use the "Copy from Previous" button such as contact name, address etc so you don't have to re-enter them.

You could also add a note to that client relating to a particular session (e.g. "6 months session") and/or add a number after their first or last name to make it easier to tell one from the other. Just record your new orders against that new client and print your invoice. This way you can keep all the orders from multiple sessions in the one album.

StudioCloud Users

Using OPTION 1 (Separate Album Files)

  1. Create an event in StudioCloud for each separate session.
  2. You would choose the client, then add an event for the 3 month session.

In ProSelect, you would create an album from the 3 month session images, then link it to the Studio Cloud client, then the event "3 Month Session".

This option, gives you separate tracking, separate calendar events and would allow you to use StudioCloud's auto-notifications and reminders. It would also allow for more accurate tracking of your sales from each of the sessions.

Using OPTION 2 (Multiple sessions in one Album file)

  1. Create a session (EVENT) for a StudioCloud Client called "First Year Session".
  2. In ProSelect, you would link the ProSelect Album to the StudioCloud client, then the event.
  3. When you do your second session for the client, you would add the images to the existing ProSelect Album (in a separate "Set").
  4. Before doing the sale in ProSelect, go to Client Setup (under Orders menu) and choose "Add New Album Client".
  5. Type the first and last name of the client. Add for example "6 Month Session" to the notes field.
  6. Click "Add from StudioCloud" and find the client from the list and click add. 

    In taking this option, when the ProSelect Order is exported from the new album client, it will create a new invoice under the event "First Year Session". At the end of the year, you would have a single event, with at least four invoices.


Option 1 - Gives you separate events and ProSelect albums (.psa), all linked to a single StudioCloud client.
Option 1 - Gives you more flexibility within StudioCloud.
Option 2 - Gives you a single event and a single ProSelect album (.psa) all linked to a single StudioCloud event and client.
